Scaling trailer rentals with igloohome locks and Lockii

Scaling a trailer rental business is harder than it sounds. Starting one has never been easier: a few trailers, a Facebook page, and a phone number will get you going. Making money and growing past that is another story. Labour eats the margins, Friday night demand walks away when nobody is at the yard, and every new unit means another handover you have to babysit.

Combining igloohome locks with automated trailer rental software changes the maths. The lock secures the trailer outdoors. The software turns each booking into a time-bound PIN, a paid reservation, and a return you can see. You stop holding keys and start running a fleet.

Empire Trailer Hire shows what that looks like in practice. Matt Cole started with one trailer on a West Mackay front lawn. He's one of many operators who began with manual ops before moving to Lockii to scale. Empire now runs about 200 trailers across 30 locations in Central and North Queensland, with 24/7 self-serve pickup. Nobody sits at a counter for every rental. Customers book online or in person, and Lockii with igloohome smart locks automate every step after that.

Since switching to Lockii, things have gotten so much easier. I was juggling three different systems before, and now it's all in one place. It's saved me a heap of time and stress, and I can actually focus on running the business again.

Outdoor locks that fit a trailer yard

Manual locks work until they do not. A keyed padlock means a meet-up or a keybox you still have to manage. A cheap coded padlock means texting PINs by hand, remembering which code belongs to which trailer, and hoping yesterday's customer did not share it. igloohome outdoor padlocks and keyboxes are built for weather on a street, partner forecourt, or dusty lot, with time-bound codes that follow the booking instead of your memory. Battery life is long enough that you are not constantly fussing with the hardware.

Access that follows the booking

The lock only helps if the code matches the paid window. Lockii generates a time-bound igloohome PIN from the reservation: it works from whenever the hire starts, and it stops when the hire ends, it updates automatically when customers edit their bookings and refreshes when trailers are swapped around so no matter what, your customers can always pick up their trailer.

Offline PIN generation is the bit that matters for trailer yards. igloohome does not need internet at the lock to accept a PIN. Customers can still pick up when the yard has bad signal. More importantly, you can park trailers where there is no signal at all: a petrol station forecourt, a partner workshop, a community centre car park. The booking still happens online. The unlock still happens on the hitch, but suddenly you can access more customers than ever before.

Capturing demand around the clock

Once pickup does not need you on site, the growth problem changes. You are no longer fighting for more steel in the same yard. You are putting units where people already drive past.

JD Trailer Hire experienced this first hand. for the last few years he's capped out his fleet with whatever he could fit in his yard. He knew he could do more, but had no idea how to grow without needing to spend thousands on staff and locations. Now, with QR and NFC "book in seconds" stickers on the trailers, igloohome across the fleet, jordan has grown out of his yard and started to place trailers in locations nearby, all without needing to hire a single extra staff member. He's getting more bookings than ever, accessing more customers, getting in person bookings, and all while doing LESS work than he was before.

The only negative I have regarding Lockii is that I didn't switch earlier. The potential for growth is now endless, whilst the system does half the work for you.

What the software still has to own

A lock and a booking form are not a business. Unmanned pickup only works if the rest of the rental is under control.

You need identity and deposits before unlock so a stranger with a phone number cannot drive off with the fleet. Flexible booking policies for extensions and late returns, so Saturday "can I keep it until noon?" is not a custom project every time. GPS returns so missing units show up as exceptions, not Monday surprises (GPS tracking guide). Pickup instructions a stranger can follow after dark. An exception inbox with remote unlock for the odd lock that will not open.

Christopher at B&S Equipment left the DIY glue of forms and payment dashboards for that reason: "Lockii is the rental system that has a workflow very similar to mine... except it takes my hands out of it."

Where this leaves you

The pattern and pathway is the same whether you have one yard or thirty. Put an igloohome lock on the trailer. Automate your process with Lockii, and leave yourself with more time to grow and handle the exceptions.

That is how Matt got off the front lawn and how Jordan got past his fence line. Not by hiring someone to hold keys on Friday night, or by adding staffed office. By making each trailer a pickup point that runs when you are not there.
